Meeting Minutes: September 2013

Amboy Friends Monthly Meeting met September 15, 2013, after a carry-in meal. There were 20 members present.

Clerk Michael Reynolds opened with the second part of a devotional entitled “The Power of Integrated Vision.” The church is not just a family; it’s a family business, working toward the fulfillment of God’s purpose.

The August minutes were read and approved.

The passing of Beverly (Vincent) Overman, 83, on September 9, 2013, was recorded.

The treasurer’s report was presented and approved.

The pastor’s report was presented and approved. Pastor Dwight Elliott attended a conference for Bible research, a Board of Directors meeting for Helping Hands in Peru, and a funeral for an Amboy resident. He also visited Rebecca Overman several times and performed a wedding.

The youth pastor’s report was presented and approved. Youth Pastor Brock Sizelove officiated his first wedding, the youth led a worship service, and he attended the Unite Youth Conference at Quaker Haven Camp. The youth group’s theme this year is “Being Real,” with a focus on being honest with who they are in their relationships and with Christ. Upcoming events include a bike hike fundraiser on October 13 and Fall Impact at Quaker Haven November 1-3.

The Missions Committee treasurer’s report was presented and approved. Treasurer Kyle Dubois pointed out that we raised $1,400 for the Overman family during our recent love offering.

Old Business
Evangelism & Outreach: Clerk Reynolds asked for thoughts on how E&O should be funded. Over the past seven years, the subcommittee of Ministry & Oversight has spent no more than $500. It was approved that E&O will request funds from the Monthly Meeting as needed.

IYM Budget: IYM representatives Alan and Karen Hunt have a letter explaining the need for faith pledges. This was tabled until the October meeting when the Hunts will bring the letter.

New Business
Recording Clerk: The list of recording clerk duties in the Amboy Friends guidebook are taken straight from Faith & Practice. It was approved that the duties will remain the same with the removal of the sentence that the recording clerk will lead meetings in the absence of the clerk and assistant clerk.

Auditing Committee: An official Auditing Committee has been laid aside, but the Stewardship & Finance Committee chair appoints people to handle auditing duties. It was approved to add a note to this section of the guidebook, requesting that findings from the auditing reports be shared with the Monthly Meeting each year. It will also be specified that auditing reports be initiated in February and completed by March. Reports to be audited will be at the discretion of Stewardship & Finance, unless requested by someone else.

Flower Committee: The Flower Committee section of the guidebook will be updated, removing the need for an annual report.

Copier Needed: A new copier was purchased by the Trustees two years ago. It cannot handle the volume needed at the church and is currently not working. Clerk Reynolds requested to use money from the general budget to purchase a new copier. It was approved that Pastor Dwight will buy a $219 Brother copier in time to print bulletins for the service on September 29 and will also research options for a commercial-grade printer/copier.

Drain Cleaning: Clerk Reynolds shared that the church’s perimeter drain has been cleaned. It was full of mud, dirt, and debris following recent flooding.

Church Repairs: Several members shared a concern that the east stairs inside the church leading to the hallway need to have reflective tape, a light, or an extended hand railing added. The stairs blend into the carpet for people with poor eyesight, and a woman recently fell during Beverly Overman’s viewing. There is also an electrical problem upstairs, causing a blown fuse and the ceiling fans, pulpit light, and light in the basement stairway not to work. It was requested that a hand railing be added to the south basement entrance, and it was noted that the church is in need of Pack-n-Plays for the nursery and smoke detectors near the kitchen.
